What is Square Invoices?
Square Invoices is the invoicing module built into Square's broader payment platform. It is available in a handful of countries including the US, Canada, the UK, and Australia, and is primarily aimed at small businesses and freelancers who already use Square hardware or payment processing.
The free tier lets you send unlimited invoices and estimates with no monthly fee. Payments are processed exclusively through Square, with a per-transaction fee on each online payment. A paid Plus plan unlocks custom templates, multi-package estimates, and lower processing rates.
Square Invoices works through a web browser or the Square mobile app. There is no dedicated desktop application for Windows or Mac.
How to create an invoice in Square Invoices
Creating an invoice in Square Invoices is straightforward from the dashboard or the mobile app:
- 1Sign in to your Square Dashboard or open the Square app.
- 2Navigate to Invoices and click "Create invoice".
- 3Select an existing customer or enter their details.
- 4Add line items: description, quantity, and unit price.
- 5Set payment terms, a due date, and any applicable tax.
- 6Send the invoice by email. Your client pays online through Square.
Square Invoices does not offer a real-time PDF preview. You see a form view while editing, and the client sees the rendered invoice only after it is sent. Custom templates are only available on the Plus plan.
How to create an estimate in Square Invoices
Estimates follow the same flow as invoices in Square:
- 1Open Invoices and switch to the Estimates tab.
- 2Click "Create estimate" and select your client.
- 3Add your line items, set a valid-until date, and include any notes.
- 4Send the estimate by email. The client can approve it online.
- 5Once accepted, convert it to an invoice (auto-convert is available on the Plus plan).
Multi-package estimates (letting clients choose between options in a single document) are only available on the Plus plan — section subtotals and inline images are not supported at any plan level.
